Confidentiality Policy

In its business dealings, Encounters with Canada recognizes the rights of individuals (parents, students, monitors, recruiters, volunteers, funding sources, etc.) and respects their privacy. Consequently, we are committed to protecting the confidentiality of the personal information* that you have agreed to send us.

Information gathering

Encounters with Canada gathers and uses your personal information in order to provide you with the services you have requested from us. Encounters with Canada will not provide or sell personal information to any third parties.

Type of Information gathered

The following information may be gathered: name, telephone number, mailing address, e-mail, method of payment, credit card numbers, date of birth, gender, citizenship and language.

Use of personal information

If you choose to provide us with personal information, it will be used to register you in our programs, to send you publications and news releases in fields that might be of interest to you, or to invite you to special Encounters with Canada events or programs offered by the Historica-Dominion Institute. We may also use your personal information to improve our communications with you.

We reserve the right to use any content posted on our website (text, graphics, video, audio) for promotional purposes in other places on our website.

Disclosure

Encounters with Canada will not disclose your personal information to anyone without your prior knowledge or consent, except when required by law. We can exchange your personal information with third parties that provide services on our behalf, such as our travel agent for transportation tickets or our label-printing supplier for our mailings. However, we will only provide to these third parties the information required to fulfill their mandate. They are prohibited from using this information for other purposes.

Consent

Encounters with Canada will make every reasonable effort to obtain your consent in gathering, using or disclosing your personal information. For children under the age of majority, we will obtain permission from a parent or legal guardian to gather and use personal information on the child’s identity. An exception will be made for legal, medical or security reasons, where it is impossible or unworkable to obtain your consent.

Information storage

Your personal information is kept in secure locations, as well as in servers controlled by Encounters with Canada, located either in our offices or in the offices of our service providers.
